HoneyBook fostered employee autonomy, encouraging independent work. While beneficial for individual output, this led to fragmented data management across various tools, making it difficult for 47% of employees to locate necessary information. An internal champion introduced Notion, but as its use grew, so did the challenges. The overwhelmed champion struggled to scale Notion and support the increasing demand. HoneyBook needed a robust, centralized operating system to manage operations effectively. Managing 45 teamspaces within Notion further complicated data management and reduced operational efficiency.
Solution
In collaboration with Notion State, we developed a comprehensive operating system and company intranet tailored for HoneyBook's 230+ employees and 30 teams. We supported development of tailored team work zones across all Honeybook teams, centralization of Honeybook’s core operations, migrations from other tools, and various cleanup activities, importantly reducing operational clutter and streamlining the team's navigation and data retrieval processes.
Results
We successfully integrated the system for 250 users across six departments and 30 teams, ensuring widespread adoption and operational consistency. The new operating system fostered a more collaborative environment, enabling teams to work more efficiently and cohesively. By centralizing operations within Notion, HoneyBook experienced a significant improvement in process efficiency, data accessibility, and overall workflow management. The system was designed with scalability in mind, allowing HoneyBook to easily adapt and expand its functionalities as the company grows.
